Even with significant effort, the picture was often incomplete or distorted. As more business activity moves into digital systems, guesswork is increasingly being replaced by Process Mining.

What is Process Mining?

Process Mining is a data-driven approach to analyzing business processes based on data from event logs in IT systems. It combines process management with data analytics.

Traditional process analysis usually relies on interviews, workshops, and assumptions about how work happens. Process Mining works the other way around: it uses data from enterprise systems to reconstruct how a process actually runs in practice.

This gives a more objective view of operations and reduces reliance on perception and opinion.

How does it work?

Every action performed by an employee or an IT system, such as creating an order in ERP or updating a lead in CRM, leaves a digital footprint.

These traces are stored as event logs. At a minimum, Process Mining requires:

– a case ID (which process instance),
– an activity (what happened),
– a timestamp (when it happened).

Using this data, Process Mining tools can automatically reconstruct a process, compare actual execution with the reference model, and assess performance by identifying bottlenecks, delays, rework loops, compliance deviations, and automation opportunities.

Screenshot of Process Mining analysis results. Deviations from the reference process are highlighted in red.

Why is Process Mining gaining popularity?

As companies become more dependent on digital systems, the volume and complexity of operational data keep growing. Process Mining helps turn that data into actionable insights.

Greater objectivity

In most large organizations, unofficial workarounds are inevitable, the corporate equivalent of “paths across the lawn.” Employees bypass inconvenient steps, adapt outdated procedures, or create shortcuts to get work done. Process Mining makes these deviations visible and measurable.

Speed at scale

Traditional process analysis remains important, especially when it comes to understanding human behavior and decision-making. Process Mining complements it by analyzing millions of transactions in minutes, work that could take analysts months, and showing where management attention is needed most.

Beyond traditional BI

BI systems are highly effective at reporting outcomes: sales performance, overdue rates, service levels, and similar metrics. But they typically do not explain how those results were produced.

Process Mining goes a step further. It does not simply show that a delay occurred; it reveals the sequence of events behind it, including idle time, hidden loops, repeated handoffs, and deviations from the standard path. In that sense, BI tells you what happened, while Process Mining shows how it happened and where the root causes are.

When does Process Mining make business sense?

Process Mining is a powerful tool, but it does not create the same value in every context and it requires a certain level of organizational maturity. In our experience, it delivers the strongest return when a few conditions are in place.

Sufficient data in core IT systems

If key process steps are still recorded in paper logs, emails, or scattered Excel files, Process Mining will have limited value. It works best where systems generate reliable and consistent data.

Enough complexity and transaction volume

If a process has only a few steps or occurs only occasionally, Process Mining is unlikely to be the right priority. It delivers the most value in processes with multiple stages, frequent handoffs, and high transaction volumes.

Clear ownership and willingness to improve

Seeing how processes actually operate can be uncomfortable, especially when delays, rework, or policy violations become visible. To benefit from Process Mining, organizations need clear process ownership, managerial accountability, and a culture willing to act on evidence.

Process Mining provides a fast, data-driven view of how processes actually work. It makes operations transparent, helps identify root causes, and accelerates improvement initiatives.

Better process visibility can reduce costs, improve customer and employee experience, strengthen compliance, and increase operating efficiency.

But data alone does not change anything. The impact of Process Mining depends on leaders who are willing to act on what the data reveals.

Process mining value realization model

Imagine you are planning roads and pedestrian routes in a large city.
